2. Information We Collect

We collect information directly from forms, including business name, contact name, email address, phone number, trade, service needs, and other inquiry details. We may collect automatic information from website analytics, such as browser, device, referring pages, pages viewed, and approximate location. We may also receive third-party information from LinkedIn, Google Business, or other business platforms when you contact or interact with us there.

3. How We Use Your Information

We use your information to respond to inquiries, schedule discovery calls, provide service recommendations, deliver AI receptionist and automation services, send service notifications, maintain client relationships, improve our website and offers, protect against misuse, and comply with legal obligations.

4. SMS Communications Policy

ProBot Solutions sends SMS text messages only to phone numbers provided by users who have expressly opted in. Consent is collected when a user submits a form on probotma.boston — including the AI Receptionist demo request, Small Business AI intake, and Spotlight intake forms — and checks a separate, unchecked SMS consent box that appears alongside the phone number field. Consent is never a condition of purchase, and we do not send SMS to numbers obtained any other way.

Types of Messages: Sales follow-ups, appointment confirmations, discovery call scheduling, service notifications, and (for our client deployments) AI receptionist responses, review requests, and lead re-engagement on behalf of contractor businesses we serve.

Frequency: Varies based on engagement. Typical: 1-5 messages per week per active conversation.

Charges: Standard message and data rates may apply. ProBot Solutions does not charge you to send or receive SMS messages.

Opt-Out: Reply STOP to any message at any time to unsubscribe. You will receive one confirmation message and then no further messages.

Mobile Information Sharing: We do not sell or share your mobile phone number or SMS opt-in data with third parties for marketing purposes. Phone numbers may be shared with our SMS service provider (Twilio, via Vapi) solely for the purpose of delivering messages you have agreed to receive.

Carrier Disclaimer: ProBot Solutions is not responsible for delays, failures, or charges related to message delivery caused by your mobile carrier or device. Message and data rates may apply per your wireless plan.

5. How We Share Your Information

We do not sell your personal information. We share information only with service providers that help us operate the website, communicate with prospects and clients, and deliver services, including Twilio, Vapi, HubSpot, Google, and Replit, or when required by law, subpoena, court order, or legitimate legal process.

We may use cookies, pixels, analytics scripts, and similar technologies to understand website traffic, measure marketing performance, improve pages, remember preferences, and protect website functionality. You can manage cookies through your browser settings.

We use reasonable administrative, technical, and organizational safeguards to protect information. No online system can be guaranteed fully secure. If a security incident triggers notice obligations, we will comply with applicable breach notification requirements, including Massachusetts General Laws Chapter 93H.

We generally retain prospect information for 24 months, client records for 7 years, and SMS opt-in records indefinitely to document consent and compliance. We may retain information longer when required for legal, tax, security, dispute, or compliance purposes.

11. California Residents (CCPA/CPRA)

California residents may have the right to know what personal information we collect, request access, request correction, request deletion, limit certain uses of sensitive personal information, and avoid discrimination for exercising privacy rights. We do not sell personal information.

Our services are intended for adults age 18 and older and for business use. We do not knowingly collect personal information from children under 13 and comply with the Children's Online Privacy Protection Act where applicable.

We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised last updated date. Continued use of the website or services after changes are posted means the updated policy applies.
